Workflows and Workbench

Open Workflows page

The Workflows configuration page allows administrators to define and manage various content workflows on the Drupal site. Key settings include:

  • Create Workflow: Define new workflows by specifying states and transitions, such as Draft, In Review, and Published.
  • Assign Workflow: Assign specific workflows to different content types, ensuring that each content type follows the appropriate review and publication process.
  • Transition Rules: Set up rules and permissions for transitioning content between different states, controlling who can move content from one state to another.
  • Editor and Publisher Roles: Typically, editors create and edit content, while publishers review and approve it. This separation of duties ensures that content is thoroughly reviewed before being published.
  • Email Notifications: When content is ready for review, publishers and reviewers receive email notifications, informing them that there is content awaiting their approval. This helps maintain a smooth and timely content approval process.

Configuring workflows ensures that content goes through the necessary review and approval processes before being published, maintaining content quality and consistency.

Workflow configuration can be accessed via the Edit Editorial Sections Workflow page at /admin/config/workflow/workflows/manage/editorial_sections.

Workflow transition permissions can be found under the Content Moderation section of the Permission pages at /admin/people/permissions.

The Workbench Email Template configuration page allows administrators to customize email notifications sent by the Workbench module. Key features include:

  • Email Templates: Create and edit templates for different types of notifications, such as content submissions, reviews, and publication notifications.
  • Dynamic Variables: Use placeholders for dynamic content, such as user names, content titles, and workflow states, to personalize email messages.
  • Notification Settings: Configure when and to whom notifications are sent, ensuring that the right people are informed about workflow changes.

Customizing email templates helps keep content editors and administrators informed about workflow progress, enhancing communication and collaboration within the team.
