Users, Roles and Access

Open People page

The People administration page allows site administrators to manage user accounts on the Drupal site. From this page, you can:

  • View a list of all users registered on the site.
  • Filter users by roles, status (active or blocked), and permissions.
  • Add new users manually by filling out the required information.
  • Edit existing user profiles, update their information, or reset passwords.
  • Block or delete user accounts to control access to the site.
  • Send emails to users for various notifications.

This page is essential for maintaining user accounts and ensuring that only authorized individuals have access to specific parts of your site.

Open Roles page

The Roles administration page allows site administrators to define and manage user roles, which are used to control access to various parts of the site. From this page, you can:

  • Create new roles with custom names to fit specific user needs.
  • Edit existing roles to update their permissions and capabilities.
  • Assign specific permissions to each role, defining what users with that role can and cannot do on the site.
  • Delete roles that are no longer needed to maintain a clean and organized permissions structure.

Roles are crucial for ensuring that users have appropriate access levels based on their responsibilities, enhancing the security and efficiency of the site.

If Single Sign-On (SSO) via Azure Active Directory (AD) using the Open ID module is implemented, user accounts and their roles are managed through Azure AD. While the assigned roles are determined by your Council IT admins, the role’s capabilities are still defined in the Drupal Roles section.

The Permissions administration page allows site administrators to assign granular permissions for each role. Assign what each role can and cannot access. This ensures a clear separation of concerns, enhancing security and streamlining the user experience. By assigning only the necessary permissions to each role, users can focus on the specific parts of the site available to them, making content management and administration less complex.

Currently Available Roles and Permission Summary

  • Administrator: Has full control over the site, including configuration, user management, content creation, and module installation.
  • Editor: Responsible for creating and editing content, but does not have permissions to publish or configure site settings.
  • Publisher: Can create, edit, and publish content, ensuring that all content meets the site’s standards and guidelines before it goes live.
